2024 Waterloo Arts Fest: Food Vendor Application

Waterloo Arts is seeking Food Vendors for the Waterloo Arts Fest on Saturday, September 14, 2024. While there are restaurants in the neighborhood, we also bring in Food Vendors to add to the diversity of options available to Fest attendees. Waterloo Arts will review all applications and select food vendors to meet our needs and fill space available. Submitting an application does not guarantee a space at the festival. The Waterloo Arts Fest will not commit to naming any vendor as the sole provider of a specific food or beverage at the festival.

KEY DATES:

  • March 15, 2024 - Applications open
  • April 30 - Early Bird application deadline
  • May 10 - Early Bird applicants notified of acceptance/denial
  • May 31 - Early Bird payment, contract and permit deadline
  • May 1 through July 31 - Space permitting, applicants will be considered on a rolling basis
  • August 23 - Festival instructions emailed to vendors
  • September 14, 2024 - Setup begins at 9am, festival runs 12pm-7pm, breakdown at 7pm

VENDOR FEE:

Early Bird Discounted Fee - $100 (See Application & Payment Deadline Above)

Regular Fee - $140 (Applications received May 1 - July 31)

Waterloo Arts will not hold booth space until the signed contract, payment and permit copies are received. 

LOGISTICS:

Prior to the festival, accepted Food Vendors will be mailed a logistics packet. This packet will include parking information, marketing materials, scheduled load-in time and instructions.

If applying for a booth, your space will be 10’ x 10’. You are required to have a tent no larger than 10' x 10'. We will not provide tables or chairs so please bring everything you need to set-up your booth. If you are applying as a food truck, you must provide the measurements with this application. You are solely responsible for the appearance of your booth or food truck space. Your booth or food truck must be staffed by your own personnel for the duration of the event. Set-up begins at 9:00 am and tear-down begins at the end of the festival at 7:00 pm.

SALES AND PERMITS

Food vendors retain 100% of sales. Food vendors are responsible for collecting any applicable sales tax and are responsible for obtaining the appropriate permits for their operation from the City of Cleveland before the festival on Saturday, September 14, 2024.

Call the City of Cleveland Health Department to obtain a food permit for the event. (216) 664-4599. The permits you need depend on what type of food you are selling, how it is packaged, where and how it is being prepared. Please leave ample time to sort out the details with the Health Department. You will be required to submit copies of the necessary permits prior to the event, including Fire or Hazardous Substance, if applicable. 

ELECTRICITY

The festival site has limited access to electricity. If you require electricity, please indicate so and we will accommodate if available for an additional fee of $50. If using a generator, the sound level of the generator will be considered when placing the vendor on site.

THE FINE PRINT

  • The Waterloo Arts Fest happens rain or shine. 
  • In the event of severely inclement weather conditions, the festival may be canceled for safety concerns. No refunds will be issued should cancellation be necessary.
  • Applying does not guarantee space. 
  • Until your contract is signed and payment is received your space will not be held. 
  • Waterloo Arts will not return booth fees if Vendors fail to obtain the necessary permits in time for the event.
