All applications must be completed in full and submitted by Wednesday, October 16th, 2024. Trunk participants are accepted on a first-come, first-served basis, and space is limited.

Information, Instructions and Rules

  1. Trunk participants may enter any vehicle (Car, Truck, Motorcycle, Tractor, etc.) as long as it is independently mobile to and from the location and fit in the parking space. The vehicle shall remain off during Trunk-Or-Treat After Dark.

  2. Each vehicle gets one standard parking space. Participants must pull or back in, with no horizontal parking. Displays may extend to the ground outside of your vehicle, but must not exceed the width of your parking space and no further than 6 feet outside of the back of your vehicle.

  3. More space may be given to participants by special request. Please email derek@greatpondtrust.org to discuss.

  4. Lights suggested! Trunk-Or-Treat After Dark trunk participants must provide their own power if needed. No electricity will be provided. Please refrain from using gas-powered or noise emmiting generators.

  5. Each vehicle must be decorated in some way. Decorations must be socially acceptable and appropriate for children. Spooky and scary themes are a fun part of the Halloween season, so we encourage you to use your best judgment when incorporating them.

  6. Vehicles displaying profanity and/or overtly adult themes and/or content will not be permitted to participate in the event. Event staff maintain the right to ask participants with inappropriate decoration displays to leave the event. If you have any questions about this please contact us.

  7. Each trunk participant must arrive with wrapped candy to distribute to approximately 500 attendees. Trunk participants will under no circumstances be permitted to distribute unwrapped candy or food products.

  8. Trunk participants will be permitted to distribute flyers, cards, or information advertising their group, business, or programs.

    Know Your Audience
    This Trunk-Or-Treat is for children ages 1-18 from a variety of backgrounds and communities. Our goal is to create a fun, spooky, and inclusive environment for all children and families. We kindly ask that trunk participants refrain from distributing any political or ideological material.

  9. Trunk participants will not be permitted to sell any items or solicit cash or donations in any way. This includes tips.

  10. Trunk participants should arrive with their decorated vehicles by 6:00 PM in order to be prepared to begin passing out candy at 6:30 PM when the event begins. Vehicles may arrive as early as 5:30 should they require additional set-up time. We ask that no vehicles leave prior to 8:00 PM when the event ends.

  11. An adult must remain with the vehicle at all times.

  12. Trunk-Or-Treat After Dark is rain or shine. Participants will participate unless Ghostport organizers cancel. Trunk participants  should have adequate protection for inclement weather.

  13. Trunk or Treat attendees will be given the opportunity to vote for the vehicle that has their favorite decorations.

  14. Trunk participants are accepted on a first-come, first-served basis, and space is limited.

General Terms of Participation Agreement

PLEASE READ THESE IMPORTANT DETAILS

USE OF ALLOCATED SPACE(s)

  1. The festival coordinator reserves the right of approval for the trunk participant.

  2. Trunk participant should provide adequate personnel for the operating hours of the event.

  3. Trunk participant shall comply with all laws, ordinances, rules and regulations of any lawful authority, agency or government unity which apply to the use of its space requirements.

  4. Trunk participant agrees to indemnify and hold harmless Great Pond Mountain Conservation Trust, its officers, directors, representatives, employees, and agents for all penalties, fines, costs, expenses, damages, from the participating trunk participant’s failure to comply with such laws.

  5. Trunk participant accepts the decision of the festival coordinator in disputes between trunk participant and any other festival participant or on any matter not covered by this agreement.

 

CARE OF ALLOCATED SPACE

  1. Trunk participants shall maintain allocated space in a neat, safe and orderly condition during the festival, maintaining an orderly appearance.

  2. There should be no booth breakdowns prior to 8:00 PM.
  3. Trunk participants must remove garbage and equipment from the allocated space.

  4. Trunk participants shall surrender allocated space to the Town of Bucksport at the end of the festival in the same condition as when the Trunk participants assumed occupancy and shall pay to the Town of Bucksport such amounts as shall be sufficient to restore such space to the same condition as when the Trunk participants arrived.

  5. Trunk participants agrees that the Great Pond Mountain Conservation Trust, its officers, directors, representatives, employees, and agents shall have no responsibility whatsoever for any loss or damage to equipment, supplies, goods or other property.

 

LIABILITY

  1. Great Pond Mountain Conservation Trust shall notl be liable for any loss or damage to the property of Trunk participant or any of its representatives, employees, agents, patrons and guests, because of fire, robbery, accidents, or any other cause whatsoever that may arise from Trunk participant’ss use or occupancy of its allocated space during the festival.

  2. Trunk participant agrees to indemnify and hold harmless representatives, employees, and agents of the festival and/or the Town of Bucksport against any and all claims of any person whomsoever, from acts or omissions of the Trunk participant, its representatives, employees, agents, patrons, or guests.

  3. Trunk participant shall be prepared to continue participation from the allocated space in the event of rain. Bring appropriate coverage. If weather becomes too inclement to operate, the Festival Coordinator will be responsible for making final determination of outdoor operations.

Please be mindful of your environmental impact, especially given our festival's close proximity to the water.

SUBMIT APPLICATION

Upon completion of this application, our jurors will review your submission and contact you to inform you of our decision. FIRST COME, FIRST SERVED BASIS. If you are selected as a trunk participant, we will contact you with our decision.Great Pond Mountain Conservation Trust requests patience as we take our time to approve trunk participants. GPMCT is volunteering to organize this community event, and aim to make decisions within 48 hours, but may need more time.
